Refund Policy

1. Project Milestones and Payments
All projects are structured around defined milestones with corresponding payment schedules. Payments are non-refundable once the corresponding milestone deliverables have been completed and delivered to the client.
2. Cancellation Before Project Commencement
If a project is cancelled before work has commenced, a full refund of any advance payment will be issued within 14 business days, less any administrative processing fees of 5% of the payment amount.
3. Cancellation During Project Execution
If a project is cancelled after commencement:
- — Payments for completed milestones are non-refundable
- — For partially completed milestones, a prorated refund may be issued based on the percentage of work completed
- — All work product completed up to the cancellation date remains the property of PolarisCoreSystems until final payment is received
4. Dissatisfaction with Deliverables
If you are dissatisfied with delivered work:
- — You must notify us in writing within 7 days of delivery
- — We will review your feedback and provide reasonable revisions at no additional cost within the scope of the original project specification
- — If revisions cannot resolve the issue, a partial refund may be negotiated in good faith
5. Technical Failures
In the event of technical failures attributable to PolarisCoreSystems that prevent project completion, a full refund of all payments received will be issued within 30 business days.
6. Refund Processing
All approved refunds will be processed using the original payment method within 14-30 business days. Processing times may vary depending on your financial institution.
7. Dispute Resolution

Section 04
Terms of Service

These Terms of Service govern the provision of digital services by PolarisCoreSystems ("we," "our," or "us"), registered at Calle Aquitania 17, Piso 4 N, Madrid, Spain. By engaging our services, you ("Client" or "you") agree to be bound by these terms.
1. Scope of Services
PolarisCoreSystems provides digital services including but not limited to website design and development, online ordering system implementation, table booking platform configuration, SEO optimization, and related digital solutions for the hospitality industry.
2. Project Engagement
All projects commence upon signed agreement and receipt of initial payment. Project specifications, timelines, and deliverables will be defined in a separate Project Agreement that forms part of these Terms.
3. Client Responsibilities
The Client agrees to:
- — Provide timely access to necessary materials, content, and credentials
- — Designate a primary point of contact for project communications
- — Review and approve deliverables within agreed timeframes
- — Ensure all provided content complies with applicable laws and does not infringe third-party rights
4. Intellectual Property
Upon receipt of full payment, the Client receives a perpetual, non-exclusive license to use all deliverables created specifically for the project. PolarisCoreSystems retains ownership of pre-existing code, frameworks, and development tools used in project execution.
5. Payment Terms
Payments are due according to the schedule defined in the Project Agreement. Late payments may incur a charge of 1.5% per month on the outstanding balance. Work may be suspended if payments are more than 15 days overdue.
6. Confidentiality
Both parties agree to maintain the confidentiality of proprietary information shared during the project engagement. This obligation survives the termination of the project for a period of 24 months.
7. Limitation of Liability
PolarisCoreSystems' total liability for any claims arising from or related to the services shall not exceed the total fees paid by the Client for the specific project giving rise to the claim. We shall not be liable for indirect, incidental, or consequential damages.
8. Force Majeure
Neither party shall be liable for delays or failures in performance resulting from circumstances beyond reasonable control, including but not limited to natural disasters, acts of government, or technological failures.
9. Termination
Either party may terminate the project agreement with 30 days' written notice. Upon termination, the Client shall pay for all work completed up to the termination date.
10. Governing Law
These Terms shall be governed by and construed in accordance with the laws of Spain. Any disputes shall be subject to the exclusive jurisdiction of the courts of Madrid, Spain.
